Sampling and FOB/CIF questions for lighting importers

Before comparing lighting import quotations, separate sample requests, trial quantities and repeat-order plans, then ask each supplier to state the exact terms for your order. Quantity, samples, packing, shipment, warranty and any FOB or CIF arrangement depend on the product, destination and written quotation.

Separate samples, trial lots and production quantities

Describe whether you need an evaluation sample, a small project batch or planned repeat purchases, and give the product family, configuration and destination. Ask the supplier to quote each scenario separately, including any sample charge, transport, order quantity conditions and whether sample cost is handled differently in a later order. Do not assume a standard minimum applies; the answer must be confirmed for the exact goods and order.

Ask what a proposed FOB term covers

FOB is a trade term buyers may ask about, but the quotation must name the agreed place and define the shipment scope and handover point. Ask which costs and tasks are included in the quoted goods arrangement, which remain yours, and which party books or pays each transport segment. Have your freight forwarder or customs broker confirm how the proposed term works for your route and transaction.

Treat CIF as a question for the exact shipment

If you want to compare CIF, give the destination port, cargo assumptions and requested shipment scope, then ask whether the supplier can quote that arrangement for this specific order. Do not treat CIF as an established offer or infer that it includes import clearance, duties, inland delivery or insurance beyond the agreed term. Confirm responsibilities, exclusions and named place in writing before comparing landed-cost estimates.

Confirm packing and timing in writing

Ask how goods will be packed, what packaging information can be supplied, and whether any buyer label or handling request changes the quotation. Request an estimated production and shipment schedule only as a written, order-specific response, including the assumptions and events that could change it. Record approved artwork, quantity changes and revision cutoffs in the order documents. Check paperwork questions against the export documents checklist.

Clarify warranty and the claims process

Ask for the warranty wording, coverage, exclusions, start point and claim steps applicable to the exact proposed product; do not infer a fixed period or remedy. Clarify what evidence a claim would require, who reviews it and how replacement or other outcomes would be decided under the written terms. Confirm configuration and commercial details in the written quotation.
